5 Things You Need To Prepare Your Event Facility For The Holidays

It’s early fall and the holidays will be upon us in what seems like the blink of an eye. In addition to holiday events, it will also be a great time for beautiful winter themed weddings and company holiday parties. Is your event facility ready for the coming onslaught of what could be nearly daily events at your business?

Here are five things you can do now to prepare…

1. Check Current Inventory

With what you currently have scheduled on the books, will you have enough tables, chairs, linens, plates, silverware, serving dishes, wine glasses, etc.? If you happen to have two large events on at the same time, can your current inventory adequately service your needs or will workers be scrambling to find 50 folding chairs at the last moment?

2. Inventory Quality Control

Realizing you have the 2,000 chairs or 300 tables you need in stock is not enough. Are all these items in good, working shape? Do they represent your company in a positive light? In other words, the chairs, in every color and variety, are in excellent condition, not scruffed up, leaning to one side, or have chair backs that no longer provide support. All tables are level, with no wobbly or uneven legs.Table linens are in immaculate condition, unstained, clean and ready for use. And continue down the list with tableware, silverware, glassware, etc.

3. Update The Decor

Sometimes, you can get so busy jumping from one event commitment to another that several seasons pass by in a blur. Having just come off perhaps your busiest season of the year--summer--perhaps now is a good time for a quick assessment as to whether your facility’s decor needs updating. This includes event areas, lobbies, meeting rooms, etc.

You need to make a good impression on your customers--or potential customers--from the moment they walk in the door. Do you appear organized, up-to-date with a fresh interior reception areas and a bright, engaging area to showcase your product? Someone planning a once-in-a-lifetime wedding wants to sit in the actual white x back chair or silver chiavari chair at the round banquet table setting you are pitching to them. Make sure everything your customer sees to and from your meeting space look just as tidy, professional and well put together.

4. Consider Trying Something New

While you’re in assessment mode, is it time to consider trying something totally new? Should you incorporate bold with new colors or contemporary new looks? Is it time to offer something completely new and fresh to potential clients while expanding into events you have not typically handled before?

If you really want to grow your business then it may be time to take some well-chosen risks and do a few things that you haven’t done before. You may need to step it up with better lighting, a better sound system, or have more options for the client to choose from in terms of colors, layouts, and styles. Maybe it’s time to include some intimate seating areas or have a section with cocktail tables accompanied by comfortable chairs and bar stools so people will move about more and mingle.

5. Expect The Unexpected

Just as a wedding planner tries to plan ahead for any setback or situation which may arise before, during or after a wedding ceremony, event planners of all types are often tasked with difficult or even bizarre last minute requests from guests and clients. It’s almost as if you are expected to have a crystal ball and foresee that 50 more guests will be added at the last minute or that the client will request to change linen colors from black to burgundy...three days before the event!

Reflect back to the last couple of winter seasons and try to recall some of these last minute changes or requests. You could probably expand that into the last few years, regardless of the season. Did any of these last minute requests or changes put your team in a bind? Was gold everyone’s favorite accent color last year and you could have used a couple hundred more gold chiavari chairs?
